The rest of it is sitting there, included in what you already pay, switched off.<\/span><\/p>\n Below are six capabilities that make a real difference to a growing team and that almost nobody turns on without prompting. One caveat worth stating plainly before you start: exactly what you have access to depends on which Microsoft 365 plan you are on, and plans differ more than the marketing suggests. Check your own before you count on any of this. Somebody saved it to the desktop, meant to move it later, and did not. Turning this on means that when a laptop is lost, stolen, or simply dies in the middle of a Tuesday, the person gets a new machine and their files come back.<\/span><\/p>\n This is the single highest-value item on the list for the effort involved, and it is genuinely a settings change rather than a project.<\/span><\/p>\n Addresses like info@ or billing@ often turn out to be a forwarding rule pointing at one person’s personal work inbox.<\/span><\/p>\n Why it matters: a<\/span> shared mailbox<\/span><\/a> lets several people see and answer the same messages, with a record of who replied to what.<\/span> Nothing sits unanswered because one person was out. Nothing disappears when that person leaves the business. Shared mailboxes do not consume an additional license, which surprises people who assumed the forwarding rule was the thrifty option.<\/span><\/p>\n When somebody leaves, the usual instinct is to shut the account off quickly. It feels tidy. It is also how businesses lose things.<\/span><\/p>\n Why it matters: that mailbox may hold the only record of a client agreement, a vendor negotiation, or a commitment somebody made two years ago. <\/span>Microsoft 365 lets you decide in advance how long content is kept, and lets you preserve a departed<\/span> employee’s mailbox<\/span><\/a> and files without keeping their license active.<\/span> Setting that policy once means the decision is not being improvised on somebody’s last day, which is exactly when nobody is thinking clearly about it.<\/span><\/p>\n The document goes out as an attachment. Three people reply with edits. Now there are four versions and somebody has to reconcile them by hand.<\/span><\/p>\n Why it matters: files kept in Teams or SharePoint can be edited by several people at once, and they keep their own<\/span> version history<\/span><\/a>.<\/span> If somebody deletes a section by accident, you roll back. You also stop having to work out which attachment was the current one, which is a small daily tax that adds up more than it seems.<\/span><\/p>\n The obstacle here is habit rather than technology. It works considerably better when the change is introduced properly to the team rather than switched on and announced by email.<\/span><\/p>\n Client details, staff records, financial documents. They go out over ordinary email, because ordinary email is what was available at the moment somebody needed to send them.<\/span><\/p>\n Why it matters: Microsoft 365 includes the ability to<\/span> encrypt a message<\/span><\/a> so only the intended recipient can open it, and to stop that message being forwarded onward.<\/span> If your organization handles client, patient, donor, or financial information, this is one of the more straightforward things you can do about it, and it is one of the things funders and insurers now ask about directly.<\/span><\/p>\n Bookings lets people schedule time with your team from a link, against real calendar availability. Forms handles intake and surveys. Planner and To Do cover light task tracking.<\/span><\/p>\n Why it matters: none of these is best in class, and for some businesses a dedicated product is the right call. <\/span>But a good number of the organizations we look at are paying separately for a<\/span> scheduling tool<\/span><\/a> or a<\/span> form builder<\/span><\/a> while an adequate version sits unused inside a subscription they already hold.<\/span> It is worth an hour to check which of yours is which.<\/span><\/p>\n Here is the pattern, and it has nothing to do with anyone being uninterested.<\/span><\/p>\n Every item above is important and none of it is urgent. Each one requires somebody to have both the time to look into it and enough context about your particular setup to know whether it will break something.
