A workstation problem can delay more than one appointment when the front desk, treatment rooms and imaging systems depend on the same technology. Your practice needs a clear way to identify the issue, reach the right support team and keep staff informed.
CMIT Solutions West Orlando & Kissimmee helps dental offices review and manage workstations, networks, Microsoft 365, cybersecurity and backup planning. Bring us your current systems and concerns so we can confirm the right support scope for your practice.

Connect your support plan to the dental workday
A useful IT conversation starts with how your team works, not a generic list of devices.
- Front-desk operations: Identify the technology behind scheduling, check-in, billing and patient communications, and decide who handles each system when something stops working.
- Imaging access: Review the workstations, network connections, storage and vendor responsibilities involved in retrieving images. Confirm application and equipment compatibility before planning upgrades.
- Treatment-room workstations: Record the devices staff rely on, their support status and a suitable maintenance window.
- Email and staff access: Review Microsoft 365 accounts, permissions and account changes when people join, change roles or leave.
- Backups and recovery: Identify the information covered by each backup service, its exclusions and the available evidence that important information can be restored.
Support for a particular dental application or imaging device, and coordination with its vendor, must be confirmed in your proposal. Do not assume that a general IT agreement includes every clinical system.
Make escalation easier before an interruption
When imaging is unavailable, staff should not have to decide which company to call while patients wait. Ask for an agreed contact list covering the IT provider, dental software vendor, imaging vendor and internet provider.
Describe how a problem will be recorded, who coordinates the handoff and how the practice receives updates. Confirm support hours, after-hours arrangements and any additional charges in writing.
Our Winter Garden dental downtime planning guide provides a practical starting point for that discussion.
Turn Q4 findings into a 2027 technology plan
Before buying replacement equipment, separate the work into three groups:
- Address identified risks: Unsupported equipment, unclear account ownership or an untested recovery process may need attention before a larger upgrade.
- Plan necessary replacements: Confirm application compatibility, vendor requirements, installation work and staff disruption, rather than budgeting for hardware alone.
- Evaluate improvements: Consider changes to imaging access, connectivity or administration when there is a clear operational reason.
For each proposed item, record the reason, responsible vendor, expected cost components and decision date. Priorities should reflect your practice’s needs and the actual findings, not a one-size-fits-all equipment cycle.
Questions to ask before choosing dental IT support
Can you support our current dental software and imaging systems?
Share the products, versions, vendor agreements and main issues. We will discuss which work falls within our scope and where specialist vendor support is required.
Can backups prevent every interruption?
No. Backups support recovery, but they do not remove every cause of downtime. Ask what is covered, when recovery was last tested and what dependencies are needed to resume work.
Does a vulnerability report establish HIPAA compliance?
No. A technical report has a defined scope. Your practice’s compliance responsibilities also involve policies, people, risk management and documentation.
Discuss your practice’s next steps
Bring your approximate staff and device count, key applications and the problem you most want to solve. CMIT West Orlando & Kissimmee can discuss an appropriate support approach and the priorities worth evaluating for 2027.
